1. Offer Eligibility

1.1. The promotional offer is available only to genuine business professionals, industry representatives, decision-makers, engineers, plant personnel, business owners, manufacturers, consultants, and other relevant trade visitors associated with industrial automation or related industries.

1.2. Participants must be at least 24 years of age on the date of registration.

1.3. Participants must successfully complete their individual visitor registration during the specified promotional period.

1.4. Registration must be completed using a valid, active, professional business email address associated with the participant’s company, organisation, or professional establishment.

1.5. Registration using personal or disposable email services, including Gmail, Yahoo, Hotmail, Outlook.com, temporary email addresses, or similar free consumer email services, will not qualify for this promotional offer.

1.6. The registered individual must personally attend Automation Expo North 2026 on at least one of the official exhibition dates and complete the required on-site verification and redemption procedures.

1.7. Only one promotional silver coin may be claimed by each eligible individual throughout the entire exhibition, irrespective of the number of registrations, email addresses, companies represented, or days attended.

1.8. The offer is intended exclusively for bona fide trade visitors. Exhibitors, co-exhibitors, exhibition contractors, vendors, event staff, service providers, promotional agencies, and personnel engaged in organising or operating the exhibition are not eligible.

1.9. Students, educational groups, and general public visitors are not eligible under this professional visitor promotion.

2. Registration Requirements

2.1. All registrations must be submitted through the official Automation Expo North visitor registration platform during the promotional period.

2.2. Each participant must provide accurate and complete information, including:

• Full name
• Company or organisation name
• Official business email address
• Active mobile number
• Job designation
• Industry or business category
• City and state

2.3. Each participant must register individually. A single registration cannot be used to claim promotional benefits for multiple people.

2.4. A valid registration confirmation or unique visitor registration ID must be generated by the official registration system.

2.5. Submission of a registration form does not automatically confirm promotional eligibility. Eligibility remains subject to verification by the organiser.

2.6. The organiser reserves the right to reject registrations containing false, incomplete, misleading, duplicate, or unverifiable information.

2.7. Registration through third-party agents, unauthorised intermediaries, automated systems, bots, or bulk-registration services may be rejected where individual consent, authenticity, or eligibility cannot be established.

2.8. Registrations completed before 24 October 2026 or after 8 November 2026 are not eligible for this promotional offer unless the organiser expressly announces otherwise.

2.9. Any alteration to the registered identity or business email after the promotional deadline will be subject to organiser approval and may result in loss of promotional eligibility.

3. Mandatory Business Email Verification

3.1. Use of an authentic business email address is mandatory.

3.2. Participants may be required to verify their business email address through an OTP, verification link, or other official verification method.

3.3. A business email address must reasonably correspond to a genuine operating business, company, or professional organisation.

3.4. Registration using a business email address does not, by itself, establish eligibility. The organiser may request additional reasonable evidence of professional affiliation where discrepancies or suspected misuse are identified.

3.5. Newly created, inactive, fictitious, disposable, or suspicious email domains may be subject to additional verification or rejection.

3.6. Participants must have access to the registered business email address when required for verification.

3.7. The organiser may reject any registration where the claimed professional identity or affiliation cannot reasonably be verified.

4. Mandatory Physical Attendance

4.1. Physical attendance at Automation Expo North 2026 is compulsory to claim the promotional silver coin.

4.2. Merely registering, receiving a confirmation email, downloading a visitor badge, or receiving an invitation does not entitle the participant to a silver coin.

4.3. The participant must personally visit the exhibition venue between 9 and 11 December 2026.

4.4. The registered visitor must complete the official on-site visitor check-in process.

4.5. Attendance must be recorded through the organiser’s authorised visitor registration or badge-scanning system.

4.6. Virtual attendance, remote participation, proxy attendance, or attendance by another person on behalf of the registered participant will not qualify.

5. On-Site Identity Verification

5.1. Every promotional claim is subject to mandatory physical verification at the designated Silver Coin Redemption Counter.

5.2. Participants must present:

• Their original registration confirmation or valid visitor badge
• Their unique registration ID or QR code
• An original, valid government-issued photo identity document for visual identity verification
• Their registered email for OTP verification, if requested
• Reasonable proof of professional affiliation, if required

5.3. The name on the registration must match the identity document presented, allowing for minor spelling variations reasonably accepted by the verification team.

5.4. Acceptable identity documents may include a driving licence, passport, voter ID, or other government-issued photo identification accepted by the organiser.

5.5. Aadhaar shall not be mandatory. Where Aadhaar is voluntarily presented, the participant may use masked Aadhaar, and the organiser shall not collect or retain Aadhaar numbers or copies for this promotion.

5.6. The organiser may perform reasonable checks to confirm the participant’s identity, registration authenticity, professional affiliation, and previous redemption status.

5.7. The organiser may refuse redemption where identity cannot be established, registration details materially conflict, or evidence of misuse is identified.

5.8. Identity documents will be used for visual verification only. Copies will not be retained unless separately required by applicable law and supported by appropriate notice and safeguards.

6. Silver Coin Entitlement and Distribution

6.1. Each eligible and successfully verified participant shall be entitled to receive a maximum of one (1) promotional silver coin weighing 1 gram, subject to the applicable offer conditions.

6.2. The promotional silver coin will be distributed only at the designated redemption counter within the exhibition venue.

6.3. Silver coins will not be couriered, posted, delivered, or dispatched to participants after the exhibition.

6.4. Redemption must be completed personally during the announced counter operating hours on the official exhibition dates.

6.5. Participants must present their valid registration credentials and successfully complete the verification process before receiving the coin.

6.6. The organiser will maintain a redemption record against each eligible registration to prevent duplicate claims.

6.7. Once a silver coin has been issued against an individual’s verified identity, the promotional entitlement will be considered fulfilled.

6.8. The silver coin is a complimentary promotional gift and cannot be exchanged for cash, credit, vouchers, any other product, or any alternative benefit.

6.9. The silver coin’s design, packaging, manufacturer, purity, and other product specifications will be as expressly communicated by the organiser in the promotional materials or at redemption.

6.10. The coin’s weight refers to the stated silver coin specification, subject to applicable manufacturing tolerances and disclosed product specifications. Any packaging or presentation case is excluded from the stated coin weight.

6.11. Once received and acknowledged, any claim relating to a missing or damaged coin must be reported immediately at the redemption counter before leaving the counter area.

7. Non-Transferability

7.1. This promotional offer is strictly personal and non-transferable.

7.2. The promotional entitlement cannot be transferred, assigned, sold, gifted, exchanged, or claimed by another individual.

7.3. A colleague, family member, representative, or other person cannot collect the coin on behalf of a registered participant.

7.4. A registration QR code, badge, confirmation email, or other promotional credential cannot be used by anyone other than the originally registered and verified participant.

7.5. Any attempted transfer, resale, impersonation, or unauthorised claim may result in disqualification.

8. Duplicate Registrations and Misuse

8.1. Multiple registrations submitted by the same individual shall not create multiple promotional entitlements.

8.2. Each eligible participant may receive only one coin, even if the participant:

• Registers using multiple business email addresses
• Registers under multiple companies
• Uses multiple mobile numbers
• Attends the exhibition on multiple days
• Generates multiple registration IDs or visitor badges
• Registers through multiple promotional channels

8.3. The organiser may review registration and redemption records to identify duplicate or suspicious claims.

8.4. Registrations involving impersonation, fictitious companies, fabricated professional details, stolen credentials, unauthorised registrations, or deliberate manipulation of the promotional process may be disqualified.

8.5. Multiple genuine employees from the same organisation may participate individually, provided each satisfies all eligibility requirements and completes personal registration, attendance, and verification.

8.6. No company, individual, agency, or intermediary may collect promotional coins in bulk on behalf of multiple registered participants.

8.7. Any participant found attempting to claim more than one coin may be disqualified from the promotion.

9. Promotional Availability and Fulfilment

9.1. The organiser shall disclose any overall quantity limit, first-come-first-served restriction, or registration cap in the official promotional communication before applying such restriction.

9.2. Where the offer is advertised without a quantity limitation, eligible participants who satisfy the published conditions will be entitled to the advertised promotional benefit.

9.3. If a quantity-limited offer is adopted, promotional allocations shall be managed according to the publicly announced eligibility and allocation rules.

9.4. The organiser may temporarily suspend redemption where necessary for crowd management, safety, technical issues, or verification-related concerns, and shall communicate reasonable alternative arrangements for eligible participants.

9.5. The organiser shall not substitute a materially different promotional gift without appropriate notice and any remedy required by applicable law.

10. Redemption Deadline

10.1. The offer is valid for physical redemption only during Automation Expo North 2026, from 9 to 11 December 2026, within the published redemption counter operating hours.

10.2. Participants are responsible for presenting themselves at the designated counter within those hours.

10.3. Unclaimed promotional gifts will not ordinarily be dispatched after the exhibition.

10.4. Any exception required due to an organiser-side verification or fulfilment failure will be handled in accordance with the published grievance process and applicable law.

11. Disqualification

The organiser may refuse or cancel promotional eligibility on reasonable grounds, including:

• False or materially misleading registration details
• Failure to verify professional affiliation
• Use of an ineligible email address
• Duplicate or fraudulent claims
• Failure to attend the exhibition physically
• Attempted transfer of registration or promotional entitlement
• Failure to complete mandatory identity verification
• Misuse of registration technology or credentials
• Violation of applicable exhibition rules
• Other documented conduct intended to obtain an unauthorised promotional benefit

Disqualification decisions will be based on relevant evidence and applied consistently, subject to applicable law.

12. Changes, Suspension and Cancellation

12.1. The organiser may modify operational procedures where reasonably necessary for safety, security, technical integrity, fraud prevention, or compliance with applicable law.

12.2. Material changes to eligibility, promotional quantity, redemption conditions, or participant benefits will be communicated through official channels.

12.3. The organiser may suspend or cancel the promotion where required by law, force majeure, or circumstances beyond reasonable control, subject to applicable consumer rights and obligations already incurred.

12.4. Changes shall not be applied arbitrarily or retrospectively to unfairly deny benefits already earned under the published offer.

13. Personal Information and Privacy

13.1. Registration information will be processed for visitor registration, communication, eligibility verification, event access, promotional fulfilment, fraud prevention, and related event administration.

13.2. Personal information will be handled in accordance with the organiser’s published Privacy Notice and applicable Indian data protection laws.

13.3. Participants will be informed of the categories of personal data collected, purposes of processing, applicable rights, grievance channels, and relevant retention practices.

13.4. Promotional marketing communications unrelated to fulfilment of this offer will be subject to the applicable consent and communication requirements.

13.5. Personal information will not be publicly disclosed as part of this promotion without an appropriate lawful basis.

14. Taxes and Statutory Requirements

14.1. The promotional gift will be provided subject to applicable Indian tax laws and statutory requirements.

14.2. Where any tax deduction, reporting, or documentation obligation applies, the organiser will comply with applicable law and communicate relevant requirements to participants.

14.3. Participants shall not be charged an undisclosed redemption fee for receiving the advertised complimentary gift.

15. General Conditions

15.2. Participation in this promotion is voluntary.

15.3. This is a promotional gift offer and not a lottery, raffle, lucky draw, or competition. No random selection is involved in determining eligibility.

15.4. The organiser may request reasonable additional verification in cases involving suspected fraud, identity discrepancies, or misuse.

15.5. The organiser is not responsible for participant-side travel, accommodation, or incidental expenses incurred to attend the exhibition.

15.6. These Terms & Conditions shall be governed by the applicable laws of India.

15.7. Any disputes shall be subject to the jurisdiction of competent courts and statutory authorities as provided under applicable law.

15.8. Nothing in these Terms & Conditions excludes or restricts any statutory rights or remedies available to participants under applicable law.
